# The housekeeping board

For managers — every task in the hotel, who has it, and what state it is in.

Housekeepers see only their own list. The board shows you **everything**: every task in the hotel, who it is assigned to, and where it has got to.

Open **Administration → Housekeeping**. It needs the Manager or Admin role.

## Where tasks come from

| Source              | Created when                                                                                        |
| ------------------- | --------------------------------------------------------------------------------------------------- |
| **Departure clean** | Reception sets a booking to Checked OUT — **automatic** |
| **MUR** | A guest presses Make Up Room and an automation raises the alert — **automatic**, at urgent priority |
| **Manual** | You add it with **Add task** |

Checking a guest **in** to a room cancels any departure clean still pending on it — the room is occupied again, so the task no longer applies.

## The four filters

| Filter       | Options                                                                   |
| ------------ | ------------------------------------------------------------------------- |
| **Status** | Open tasks (default), Pending, In progress, Done, Skipped, Cancelled, All |
| **Type** | All, MUR, Departure, Stayover, Inspection, Manual |
| **Assignee** | All, or one member of staff |
| **Floor**    | All, or one                                                               |

{% hint style="success" %}
Two combinations do most of the work: **Open + MUR** tells you whether any guest is currently waiting. **Open + one floor** tells you whether that floor's housekeeper is falling behind.
{% endhint %}

## Adding a task by hand

{% stepper %}
{% step %}

#### Click Add task

{% endstep %}

{% step %}

#### Room and Type

Departure clean, stayover, inspection or manual.
{% endstep %}

{% step %}

#### Priority

Normal, or Urgent to put it at the top of the housekeeper's list.
{% endstep %}

{% step %}

#### Assign to

A specific person, or leave unassigned so anyone can pick it up.
{% endstep %}

{% step %}

#### Notes

The housekeeper reads this on their phone, so be specific: "replace the broken kettle", not "see me".
{% endstep %}

{% step %}

#### Create

{% endstep %}
{% endstepper %}

## Default staff assignment

**Settings** on this page decides who automatically receives new tasks of each type. With defaults in place, a check-out lands on the right phone without anyone routing it.

Set them at the start of a shift pattern and revise them when the rota changes.

{% hint style="info" %}
**Unassigned is not lost.** Tasks with nobody assigned still appear on every housekeeper's phone, so the room still gets done. Assignment is about balancing the load, not about making work visible.
{% endhint %}

## Running a shift from the board

{% stepper %}
{% step %}

#### Start of shift

Set the default assignments for whoever is in today.
{% endstep %}

{% step %}

#### Mid-morning

Filter to **Open + MUR**. Anything sitting there is a guest waiting — chase it.
{% endstep %}

{% step %}

#### Through the day

Watch Open by floor for somebody falling behind, and move tasks between staff.
{% endstep %}

{% step %}

#### End of shift

Filter to **Skipped** and read the notes. Reschedule whatever still needs doing.
{% endstep %}

{% step %}

#### Weekly

**Export CSV** and look at completion times by person and by floor.
{% endstep %}
{% endstepper %}
