# Step 5 · Floors and rooms

Build the structure of the building — floors first, then the rooms on them.

This is the shape of the hotel, and almost everything else refers to it: bookings, cleaning tasks, access zones, reports. Get it right once and the rest of the setup falls into place.

Go to **Floors/Rooms**. The page has two tabs.

## Create the floors

#### Open the Floors tab and click Add floor

#### Name

What staff call it: "Ground floor", "First floor", "Attic". This is what appears in housekeeping filters and reports.

#### Level

A number used for ordering. Use the real building level — `0` for the ground floor, then `1`, `2`, and negative numbers for basements. Sorting everywhere in Harmony follows this.

#### Save, and repeat

Include floors with no guest rooms if they hold readers or common areas.

The Floors tab then shows each floor with its room count — a quick way to spot one you forgot to populate.

## Create the rooms

Switch to the **Rooms** tab. Each room has these fields:

| Field                  | What to put in it                                                                                                                           |
| ---------------------- | ------------------------------------------------------------------------------------------------------------------------------------------- |
| **Name**               | What staff say out loud: "Room 203", "Presidential suite"                                                                                   |
| **Number**             | The numeric room number. Automations and the housekeeping board use it, so it must match the number on the door.                            |
| **Type**               | Single, Double, Twin, Suite. Click **Add** beside the field to create a type the first time. Types drive online distribution and reporting. |
| **Maximum of persons** | How many guests it sleeps. Reception uses it to stop overbooking a room.                                                                    |
| **Floor**              | One of the floors you just created                                                                                                          |
| **ID**                 | An external identifier, for when a PMS or channel manager knows this room by a different code. Leave empty if nothing else needs it.        |
| **Icon**               | The picture on the room card. Cosmetic, but it makes the Overview grid readable at a glance.                                                |

Once a room exists, its edit dialog gains two more sections: **Devices** (the lights, thermostat and contacts that belong to it) and **Readers** (the card readers on its door).

## Doing this for fifty rooms

Rooms are mostly identical, so work in passes rather than perfecting each one:

#### First pass — create every room

Name, number and floor only. Go fast, ignore the rest.

#### Second pass — types and capacities in bulk

Tick the checkboxes of all the doubles, click **Bulk edit**, set type and capacity once, then **Apply to selected**. Fields left empty in the bulk dialog keep their existing values, so you can change one attribute without disturbing the others.

#### Third pass — attach devices

**Keep names and numbers consistent.** Room 203 should be called "Room 203", not "Deluxe double east" — put the marketing description in the room *type* instead. Under pressure, staff search by number.

## Common areas

A bar, spa, gym or conference room can be a room in Harmony too, if you want to control its lighting or heating. Give it a distinctive icon and a number well outside the guest range — a 900-series works nicely — so it never collides with a real room number.

Guest access to those spaces is handled with [zones](/inels-harmony/administration/step-7-zones-and-readers.md), not bookings.

## Confirm it worked

* [ ] The Floors tab lists every floor with a plausible room count
* [ ] The Rooms tab row count matches the hotel's real room count
* [ ] Every room shows a type and a capacity
* [ ] **Overview** shows a card per room, even if the cards are still mostly empty
